Voice Messages

On November 29th, we went live with our upgraded voice notification system. You will notice a change in the sound quality of the messages, since this is using a newer technology. If you don't receive notices using the voice system and would like to, please contact your library so they can update your record. We had thought we could send out hold pickup reminders and hold cancellation notices using the voice system, but they will continue to be send using email. Our other options for notification; email and text, have not changed.

These are the scripts for the various messages. We kept them as close to what is currently being used as possible.
Hold pickup notice:
Hello, this is a message from your library, to advise of held items for [Patron Name]. We are calling to let you know that according to our records, an item you requested is ready to pick up from [Library Name]. Please pick up this item as soon as possible. For more information, please call your library. Thank you. Goodbye.
 
Item due reminder notice:
Hello, this is a message from your library for [Patron Name]. We are calling to let you know that according to our records, you have an item that is due back on [Date - Friday 17th of November]. For more information, please call your library. Thank you. Goodbye.
 
First overdue notice:
Hello, this is a message from your library, regarding material overdue for [Patron Name]. We are calling to remind you that according to our records, there is an overdue item that needs to be returned as soon as possible to any one of our libraries. Please return this item promptly. For more information, please call your library. Thank you. Goodbye.
 
2nd overdue notice:
Hello, this is a message from your library, regarding material overdue for [Patron Name]. We are calling to remind you that according to our records, there is an item that is very overdue and needs to be returned as soon as possible to any one of our libraries. Please return this item promptly. For more information, please call your library. Thank you. Goodbye.
 
3rd overdue notice:
Hello, this is a message from your library, regarding material overdue for [Patron Name]. We are calling to remind you that according to our records, there is an item that is extremely overdue and needs to be returned. You will be billed for this if it is not returned as soon as possible to any one of our libraries. Please return this item promptly. For more information, please call your library. Thank you. Goodbye.

Post-it notes for damaged items

There seems to be some confusion about these post-it notes. On the line that says Lending Library enter the name of the library that was going to circulate it - not the owning library.
1. Using the standard post-it note form supplied by SAILS record the type of damage, enter today’s date and circulating library. This post-it should be put inside the cover of the item if possible.
2. The item can then be checked out to the patron
3. The circulating library should immediately place a copy specific hold on the item for the item’s owning library. A hold note must be entered briefly stating the item is damaged.
4. When the item is returning to the owning library, that library should update the item record so that the circulation note states the item is damaged. The item can then be put back into circulation.

Also please note - it is the owning library that enters the circulation note not the circulating library.

The purpose of these post-it notes is to allow a patron to borrow an item without being charged for existing damage.

Clean Hold Shelf Report – HOLD-Exp

It has come to our attention that there are times when an available hold expires, the item belongs to another library, but the Clean Holds Report does not put the item in transit. Rather, the report lists the item with a location of HOLD-EXP (see below)

Please make sure that anyone who deals with holds that have expired on the hold shelf knows that before putting one of these in delivery it must be put in transit. Also, they should make sure that the item actually belongs to your library before reshelving it.

Itemcat3 updates

SAILS will have completed the itemcat3 updates to the database by October 3,2016. This means that starting next Monday when you add items to the database you must be sure to enter an itemcat1 (used for circulation) itemcat2 (used to define audience for the item) and itemcat3 (broad categories for reporting.) We are not going to be doing any verification that these values are being added so if there is a problem next July with reports we won't be aware. This is also something you can't run reports for in Directors Station - it doesn't know about the itemcategory 3. If you are unsure of what categories to use here are the definitions as set up by the MBLC: Name - Description AUDIO - Compact discs, cassettes etc., Playaways for books, etc. BOOKS -BOOKS DAUDIO -Downloadable audio (audiobooks, music) DVIDEO -Downloadable video E-BOOKS -E-books ELECTRONIC - Materials in electronic format (including CD-ROM and video games) MICROFORMS - Materials in microforms (fiche rolls, etc.) MISC - Miscellaneous (ebook readers, museum passes, equipment, puppets, kits, board games, art, etc.) PERIODICAL - Print periodicals, newspapers and other print serials (including scholarly or scientific journals) VIDEO - DVDs/Blu-ray discs/VHS, Playaway View, etc.
